Privacy Policy
Effective date: November 3, 2026
AER Enterprises, LLC, doing business as arisCPA (“arisCPA,” “we,” “us”), is a CPA firm in Brandon, Florida. This policy explains what information we collect from clients and website visitors, how we use and protect it, and the choices you have. It covers www.ariscpa.com, the arisCPA Client Vault (our secure client portal), and our text messages and emails.
As a CPA firm, we are also bound by professional confidentiality rules and by federal law on tax return information (Internal Revenue Code section 7216). We never use or disclose your tax return information for any purpose other than preparing your return and providing the services you engaged us for, unless the law allows it or you give us written consent.
Information we collect
- Information you give us: your name, address, email, phone and mobile numbers, dates of birth, Social Security or taxpayer ID numbers, bank account details for refunds and payments, and information about your spouse, dependents and business.
- Documents you provide: tax forms, financial statements and other records you upload to the Client Vault, email or give us.
- Information created in our work: tax returns, workpapers, engagement letters, signatures and notes.
- Portal and website information: sign-in times, the device and browser you use, your IP address, and the choices you make in the Client Vault, such as consent records.
- Cookies: the Client Vault uses cookies to keep you signed in securely. Our website may use basic cookies to measure visits. You can block cookies in your browser, but the Client Vault will not work without them.
How we use your information
- To prepare and file your tax returns and provide accounting, bookkeeping, payroll and advisory services.
- To communicate with you about your account, including document requests, reminders, signature requests and return status, by email, phone or text (texts only if you opt in).
- To verify your identity and protect your account, including one-time sign-in codes.
- To bill for our services and process payments.
- To meet legal, regulatory and professional requirements.
We do not sell your personal information, and we do not use it for advertising.
When we share information
We share information only as needed to serve you:
- With the IRS, state tax agencies and other government bodies, when filing returns or as required by law.
- With service providers who help us run the firm, such as secure cloud storage, email and text-message delivery, e-signature, accounting and payment software, client relationship management, and software that reads and organizes the documents you upload. They may use your information only to provide their services to us and must keep it confidential and secure.
- With others you authorize, such as your lender, attorney or financial advisor, when you ask us in writing.
- When required by law, court order or professional standards, or to protect our rights or prevent fraud.
Where a disclosure of tax return information requires your written consent under section 7216, we ask for it separately, and you may decline.
Text Messaging (SMS)
If you opt in to text messages in the arisCPA Client Vault, we collect your mobile number and a record of your consent (the date, the screen you used, and the wording you agreed to). We use them only to send the account messages you asked for: sign-in codes, reminders and return updates.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-message opt-in data and consent are never sold, rented or shared with any third party, except with the service providers that deliver our messages (such as our messaging platform and mobile carriers), and only to deliver them.
You can stop texts at any time by replying STOP or by turning texts off in the Client Vault. Message and data rates may apply. See our SMS Terms: https://www.ariscpa.com/sms-terms/
How we protect your information
We keep administrative, technical and physical safeguards in line with the FTC Safeguards Rule for tax professionals. These include encrypted connections, encrypted storage of sensitive numbers, sign-in by one-time code, a personal security PIN for viewing sensitive fields in the Client Vault, restricted staff access, and secure document storage. No system is perfectly secure; if we learn of a breach affecting your information, we will notify you as the law requires.
How long we keep information
We keep client records as long as needed to provide our services and meet legal and professional retention requirements, generally at least seven years after the related tax year, then dispose of them securely.
Your choices
- You can view and update your profile information in the Client Vault, or ask us to correct it.
- You can turn text messages on or off at any time, and unsubscribe from non-essential emails.
- You can ask what information we hold about you. Some records must be kept by law even if you ask us to delete them.
Children
Our website and Client Vault are not directed to children under 13. We collect information about minors only as dependents on a client’s tax return, provided by the parent or guardian.
Changes to this policy
We may update this policy. The effective date above shows when it last changed. Material changes will be posted here and, where appropriate, sent to clients.
